Work Exchange Program

The Work Exchange Program allows individuals to exchange 8 – 10 volunteer hours for access to attend the 24th Annual Hawaiʻi Conservation Conference (valued over $400). This is a great opportunity for interested individuals who can offer their skills, assistance, and leadership in exchange for full conference admission, in addition to other benefits.

 

The HCC’s success stems from the work of willing and dedicated individuals who contribute to this program. The assistance of the work exchange participants make it possible to have the various engaging exhibits, events, and speakers of the conference.

The HCC Work Exchange program allows participants to meet, interact with, and learn from conservation veterans, emerging leaders, resource managers, field staff, and others in the conservation community. The research, knowledge, and experiences they share provide an invaluable opportunity to anyone interested in starting or furthering a career in conservation.

The WEP Application is now closed.

Program Requirements:

Applicants must agree to:

  • Commit to and complete a minimum of 8 volunteer hours at the HCC; if scheduled hours are not completed with no prior notice provided to WEP leadership, the volunteer will be billed for the full conference price.
  • Attend a mandatory orientation on Monday, July 17th from 10am to 12:30pm
  • Sign-in and out of shifts at the Volunteer Check-In Desk (this is the participant’s responsibility in order to receive credit

Program Timeline:

Early April       WEP Application available

May 29           Volunteer schedule available for volunteers to sign-up (first-come, first-serve basis)

Jun 30            Schedule sign-up ends

July 17            Volunteer Orientation. MANDATORY, 10am – 12:30pm at the Hawaiʻi Convention Center

July 18 – 20     Hawaiʻi Conservation Conference

Work Exchange Assignments: 

Registration and Check-In Team

Registration Desk: Help sign-in registered participants. Hand out name badges and conference material.

Volunteer Check-In: Assist Work Exchange Program leads to check-in and check-out volunteers. Provide and collect materials to and from volunteers as needed.

Opening Protocol Assistant: Assist with interactive opening protocol by holding signs representing groups based on island or continent of origin.

Welcome Team

VIP Reception: Come ready to host the party! WEP participants will serve as staff to help with the VIP Reception. Please dress in Aloha wear.

Welcome Greeter: Greet and direct conference attendees on the morning of the first day of conference. Must be familiar with the venue, conference schedule, and details about Opening Protocol.

Pau Hana Reception: Provide support as needed at the Pau Hana Reception

Session Supervision Team

Room Monitor: Helps each session run smoothly by working with the moderator in keeping time.

Door Monitor: Sit or stand next to the door of your assigned room. Check name badges, count attendees, monitor door noise, etc. Door monitors also fill out the session report.

Room Runner: Provide support for the Room and Door Monitors in your assigned room. Be ready to notify appropriately of issues that emerge in your room.

Tech Team

E-Poster Exhibit Monitor: Monitor E-poster exhibit area. Must be familiar with PC troubleshooting.

Help Station: Assist conference participants with navigation of mobile conference application. Must be familiar with venue and schedule. Friendly customer service will be expected.

Conservation Connections Booth: Monitor the materials and activities of the Conservation Connections booth in the Exhibition Hall. Must be familiar with Conservation Connections

Logistics

Staff Runners: Will provide assistance to HCA staff/conference coordinators as needed.

Retail: Assist retail sales by organizing merchandise, helping customers find sizes, and any other support needed by staff.

Poster Set-Up/Break-Down: Assist with the set-up and/or break-down of e-poster exhibit area.

Pavilion Set-Up/Break-Down: Assist with the set-up and/or break-down of pavilion area.
