Requests must be submitted by email to conference@hawaiiconservation.org before July 1st, 2025 with ticket holder’s name, email, and confirmation number. There is a $35 processing fee for cancellations/refunds; allow up to four weeks for processing. No refunds will be processed for no-shows.

Scholarships are available to support currently enrolled Hawaiʻi High School/College/University students or emerging professionals who have graduated from Hawaiʻi institutions within the last three years to attend the conference at a highly discounted rate. The Hawaiʻi Conservation Alliance and Foundation is pleased to announce that, through generous sponsorship, we are able to offer a limited number of seats for free on-site group childcare at the 2025 Hawaiʻi Conservation Conference. Childcare services from a licensed event childcare provider will be available to registered conference attendees for the full duration of the conference proceedings from Tuesday, July 22 to Thursday, July 24. The licensed event childcare team includes sitters who are CPR & First Aid certified, have returned a clean background check, and have a minimum of 5 years of experience caring for children (not including their own or for friends/family). Childcare will be located in a dedicated conference room adjacent to our conference proceedings.
While we anticipate interest is likely to exceed the number of available spots, we encourage all interested individuals and families to submit a short application. Please see full details, including our priority criteria below. This offering, free for admitted families, was originally envisioned for infants, toddlers, and children who are six years old and younger. However, we may also extend services to children ages 7-11 based on interest and availability.
Interested individuals and families should apply via our online HCC 2025 Childcare Application Form no later than Friday June 13, 2025. Applications will be reviewed internally using the priority criteria below. Acceptance notices will be sent out no later than July 1 (to coincide with the general conference rate registration deadline).
When reviewing applications for consideration, priority will be given to:
- Individuals/families attending HCC from off-island, who would not otherwise have childcare available on Oʻahu.
- Individuals/families who have substantive responsibilities at this year’s conference (e.g., organizing, moderating, and/or presenting in sessions, providing support for conference logistics including opening and closing protocol, and/or other related duties)
- Individuals/families who have limited or no other childcare arrangements available on the conference dates AND for whom on-site childcare makes a significant difference in their ability to fully and effectively participate in the conference
- Individuals/families who are likely to use the available childcare services for a substantial portion of the conference (i.e., not just 1 to 2 hours on a single day).
Admitted families will conduct an intake process with our childcare provider that involves a detailed registration form and participant waiver. Parents will also receive a list of supplies to bring (including all meals/snacks – these will not be provided), a brief overview of available on-site supplies and equipment, as well as a general agenda for each day of care.
